These submissions may occur via online forms, shared folders, email, or other direct input.

Depending on your submission, we may collect:

  • Organisation name and logo

  • Project details, descriptions, documentation, or images

  • Reuse services or offerings

  • Public-facing links (e.g. websites, social media, references)

We do not publish personal contact information without your explicit consent.

3. Why we collect it

We collect this information to:

  • Build structured project examples and supplier/service profiles

  • Attribute and showcase your contribution to the platform and wider reuse ecosystem

  • Enable users to find relevant examples and collaborators

  • Contact you for clarification or future collaboration

  • Analyse platform use and improve its structure and impact

  • Report anonymised trends to funders or ecosystem partners

We process this data on the basis of:

  • Legitimate interest (to operate and improve the platform)

  • Consent (for optional communications, public recognition, or promotional use)

4. How we store your data

Your data is stored securely using encrypted and password-protected systems, accessible only to the re:new team and approved collaborators. We retain data only as long as it remains relevant and useful to the platform’s purpose.

Depending on your submission and consent, we may publish:

  • Organisation name and logo

We will not publish personal email addresses or sensitive data.

You will be credited wherever your content appears.

5a. Supplier Listings from Public Sources

In addition to profiles submitted directly to re:new, we may create supplier or service profiles based on publicly available business information — such as organisation names, service descriptions, and contact details published online.

These listings are provided to promote reuse services and improve industry access to circular solutions. Inclusion does not imply formal endorsement, partnership, or affiliation, unless explicitly stated.

6. Submission Terms: Case Studies & Reuse Services

By submitting a case study, reuse service profile, or other contribution to re:new, you agree to the following:

a. Ownership & Licensing

You retain ownership of your original submission content. By contributing to the platform, you grant re:new a royalty-free, irrevocable licence to structure, adapt, publish, and share your submission. The structured version of your contribution, as formatted and published by re:new, may be openly viewed and shared via the platform, but may not be republished or reformatted for external use without permission.

b. Structured Format & Derived Content

The structure, formatting, and metadata applied by re:new — such as data models, tags, categorisation, summaries, analytics, and platform-generated visuals — are the intellectual property of re:new. This includes any interpretation, standardisation, or formatting added during the structuring process. These elements may not be extracted, copied, republished, or reused outside the platform without written permission.

c. Your Responsibilities

You confirm that:

  • The content you submit is either your own, or you have permission to share it

  • You understand the structured version will be publicly accessible

  • You are happy to be credited as a contributor unless stated otherwise

d. Removal

You may request removal of your project example or profile from the public platform at any time. re:new will honour this wherever possible, though previously published materials (e.g. in public communications or archived formats) may persist.

7. Marketing Communications

You may choose to opt in to receive occasional emails about:

  • Platform updates

  • New case studies

  • Events or collaboration opportunities

This will always be optional, and you can unsubscribe at any time.

8. Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you

  • Request correction or removal of your data

  • Withdraw consent where applicable

  • Lodge a complaint with the ICO (Information Commissioner’s Office) if needed
